OPERATIONS ASSISTANT

Red Clay Dance Company is excited to request applications for the Operations Assistant position. The role of the Operations Assistant is to assist the Director of Facility & Operations in managing the organization's operational needs.

This role is a unique opportunity to join a trendsetting, culturally relevant, socially transforming, elite dance organization in the Chicagoland Area. ROLES AND RESPONSIBILITIES

Reception

  • Answer the main phone line accurately, professionally, and politely.

  • Direct calls to appropriate staff and/or voicemail and record written messages, when necessary.

  • Displays a positive attitude and maintains a professional appearance. 

  • Receive all visitors in a pleasant and welcoming manner, arrange for their comfort, and inform appropriate staff of their arrival.

  • Observe and comply with all security measures that are in place.

  • Process in/out-going mail. Handle the sorting and processing of all packages for messenger services, Federal Express, etc.

  • Maintain the Reception area, keeping it clean.

  • Attending staff meetings and training as requested.

  • Managing facility usage calendar. 

  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

  • Maintain computer and manual filing systems as needed.

  • Confidentially handle sensitive information.

  • Other duties as assigned.

Operations

  • Support the maintenance of supplies and submit inventory sheets biweekly.

  • Support the Director of Facility & Operations in the organization of the dance studios and storage closet.

  • Support the Director of Facility & Operations in the maintenance and inventory of company merchandise.

  • Provide client services coverage- first aid, calls home, appointments with administrators, copies needed, etc.

  • Provide Teaching staff/Renters support as needed during studio classes.

  • Provide support during special events as needed.

  • Monthly clean refrigerator and microwave.

Coordination

  • Manage the intake process for new In the Making members from initial inquiry through membership start.

  • Draft monthly e-newsletters to In the Making members providing updates on professional development opportunities happening inside our center and through our partner institutions (i.e. Black Arts Cultural Alliance, See Chicago Dance, Arts & Business Council).

  • Manage the In the Making calendar scheduler on the company website.

  • Provide reports to the Development Manager on the Making data analytics as needed.

  • Manage surveys of In the Making Members in partnership with Marketing & Development staff.

  • Attending meetings with funders that support the In the Making program when necessary.

  • Assist in the development of new offerings for In the Making Members such as gatherings/networking events, etc.

Marketing and Sales

  • Support registration/ check-in for School of Dance classes.

  • Responsible for participating in achieving operation revenue goals by encouraging the sales of classes, merchandise, and ad space on our digital billboard.

  • Support the Director of Facility & Operations in elevating the experience of the brand through every touchpoint, both internal and external.

Brand Excellence

  • Support the Director of Facility & Operations in elevating the experience of the brand through every RCDC touchpoint, both internal and external.

Discretion

  • The Operations Assistant has a low-level range of discretion and independent decision-making.

Supervisory Responsibilities

  • None.

Relationships

  • The Operations Assistant works closely with the Director of Facility & Operations and Teaching Staff.

QUALIFICATIONS

Requires a minimum of 1 year of experience as a receptionist and a high school diploma. Ability to type 40 wpm. Highly Proficient in Microsoft Office Suite and data entry. A clear professional voice is necessary as well as the ability to interact with our clients.  Must be organized, punctual, a team player, and willing to take on new tasks as assigned. Evening and weekend availability may be required.

Compensation:

Salary: $16.20 - $18.00 per hour/28 hours per week.
